Arts Administrator Apprentice with Arc

Reporting to the Programme Manager, the Arts Administrator will play an important role in ensuring ARC’s administrative function runs efficiently and effectively. In particular, they will support the Programmes Manager and her team.

Training to be provided:

  • You will work towards a Level 2 NVQ Diploma in Community Arts with Gateshead College  

  • Functional skills Maths, English and IT, if required

    Expected course duration: 12 months

    Number of hours: 35 hours per week

    Working pattern: Monday – Friday with some requirement to work occasional evenings and Saturdays

    Salary: £129.50 per week

    Job description:

    They will assist with all members of the team with core administration tasks including desk-based research, organising meetings, collating information, and preparing and sending documents.

  • Prepare documents in Microsoft Word, Excel and PowerPoint as advised by the Programme Manager or other programming staff.

  • Design, update and revise current electronic Word and Excel templates as required.

  • Photocopy and scan documents, ensuring effective electronic and/or paper filing to ensure easy retrieval.

  • Make arrangements for internal meetings, including communicating with other departments regarding room set-ups, refreshments and AV requirements.

  • Attend internal and external meetings, taking notes as required.

  • Research and prepare travel and accommodation options for ARC staff and touring artists, making bookings once plans are confirmed.

  • Arrange distribution of flyers and posters for ARC’s touring shows, including making up parcels and booking couriers.

  • Collate information for regular e-newsletters, and send once approved.

  • Provide general filing and administration support to the Programming department.

  • Support all departments within ARC as required, including helping out in other departments to cover staff sickness or seasonal peaks in workload.

  • To act as project manager for specific activities where appropriate.

  • To act in accordance with ARC’s policies, including its Health and Safety Policy, Safeguarding Policy and Equality Policy.

  • To undertake any training required by ARC.

  • Any other duties as may be required as part of the Apprentice Administrator’s role.


Desired skills:

  • Good I.T. skills including Word, Excel and e-mail and knowledge of Microsoft

  • Attention to detail

  • Excellent communication skills both verbal and written
